DOES THE RENTAL TIME INCLUDE SET UP?
The times defined anticipate your setup and breakdown.  You are not given access to the building before your contracted time or after for setup and breakdown. Please CLICK HERE to see the rental times.

DO YOU PROVIDE BUILDING STAFF TO HELP SET UP?
Yes, please contact the building manager to arrange set up and breakdown for a fee of $150.00. Users rely on family, friends, hired event planners, etc. to set up and break down the tables/chairs and clean up.  It is highly recommended that the user hire a wedding planner at least to help with the day-of setup and cleanup. The user is given the key to the building upon check-in.  The user has full access to the building during the rental period defined on the contract and is expected to be fully vacated from the building including all rented items and personal items by the end time of the contract.

WHERE IS THE WEDDING CEREMONY USUALLY HELD?
You have full use of the building and the garden during your rental period.  Most rentals use the garden for the ceremony.

WHAT IS THE CHECK-IN PROCESS?
The rental manager will meet you or your designate at the Junior League Building at the beginning time/date indicated on your contract.  At that time you will receive keys to the building and you will conduct a walk-through of the building.  The rental manager will explain what is required (both verbally and in writing, in the form of a checklist) for you to receive your damage deposit back.  IT IS VERY IMPORTANT that a person who will be involved in the checkout/breakdown of your event be involved in the check-in process.

WHAT IS THE CHECKOUT PROCESS?
You are expected to leave the building as you found it.  You are not expected to mop the floors or clean the bathrooms after the event.  However, you are expected to put away all tables and chairs, remove all rented items and decorations and place all trash in the dumpster by the end of the contracted time.  The rental manager reviews with the user the expectations in detail upon check in. You are not required to be present the day after your rental to complete the checkout process. You are instructed to leave the key locked in the building.  The rental manager will inspect the building the next day using the checkout form provided to you to ensure that the building and grounds are free of damage, etc.

CAN I RENT JUST THE GARDEN OR JUST THE BUILDING?
No.  The rental rates are for the full use of the facility regardless of your event type or size.

HOW DO I HAVE A REHEARSAL FOR MY EVENT?
You are only given use of the facility during the times outlined in the contract.  JLGL does not provide staff or the facility for event rehearsals that fall outside of the contracted time. If you require a rehearsal, you must rent the building for that time.

HOW DO I TOUR THE BUILDING?

HOW DO I FIND OUT IF THE BUILDING IS AVAILABLE? 
It is best to fill out the online inquiry form even if your dates are not currently available.  There are cancellations that may not be updated on the calendar.

HOW DO I SECURE MY DATE?
Dates are secured with a non-refundable deposit equal to half the amount of your rental (paid towards the rental fee) and a signed contract. We can not hold dates with just an inquiry. DO NOT pay the security deposit before you have received and reviewed the rental contract. IT IS NON-REFUNDABLE.

I HAVE FILLED OUT THE CONTRACT ONLINE FORM, NOW WHAT?
The online form will prompt the rental manager to create the rental contract. Typically you will receive the contract within 24 hours via email.  In addition to the contract, you will also receive the building guidelines for use, rules, regulations, etc.  The email with the contract documents will explain what to do and how to get the documents back to the League.

HOW DO I SHOW FAMILY & FRIENDS THE BUILDING AFTER I HAVE SIGNED THE CONTRACT?
The rental manager does not have regular office hours on site.  Once per week on an as needed basis, the rental manager will hold evening office hours for building inquiries, etc. You must coordinate your vendors, family, and friends into one site visit.

AM I REQUIRED TO OBTAIN EVENT INSURANCE?
Yes. The Junior League of Greater Lakeland is a non-profit organization with a changing board of directors. Event insurance covers the user against liability claims from guests and provides an additional layer of protection for the volunteer JLGL board members. Prices of event insurance range depending on the number of guests, type of event, and alcohol use. We refer users to www.theeventhelper.com or www.wedsafe.com but these are not required sites. The Junior League office must receive certificates 15 days prior to the date of the event. The insurance must cover the dates/times the renter possesses the key to the building. Insured must match the name of the person/entity who signs the contract.

IF YOUR EVENT IS SERVING ALCOHOL, YOU  MUST CHOOSE HOST LIQUOR LIABILITY COVERAGE ON YOUR EVENT INSURANCE.

WHAT ARE PREFERRED VENDORS?
Preferred vendors are vendors who have provided JLGL proof of business liability coverage and have named Junior League of Greater Lakeland as an additional insured for one year. These vendors have been pre-approved by JLGL and are recommended by the Junior League of Greater Lakeland.

AM I REQUIRED TO USE VENDORS FROM THE PREFERRED VENDORS LIST?
No. However, ALL vendors MUST provide proof of liability insurance and add JLGL as an additional insured.  If you chose to use a vendor other than those pre-qualified, you will be responsible for making sure the vendors provide the required information. No vendors without insurance are allowed.

CAN I SUPPLY MY OWN FOOD AND BEVERAGES, ETC.?
Yes. If family/friends are helping to supply your event with goods and services that one would normally hire vendors for, you and those family/friends must sign a waiver. You can not hire an uninsured vendor and sign the waiver. If any of your friends provide that service for pay, regardless of whether you are paying them or not, they must provide insurance.  For example, your friend has a DJ business on the side.  He has business cards or a website and gets hired to do events.  He is giving you his services for free.  He is considered a business and therefore must provide insurance.

WHAT ARE THE RULES CONCERNING ALCOHOL FOR MY EVENT?
Alcohol may be served at your event. However, alcohol can only be sold by an entity with a state issued liquor license. If you are hiring someone to serve or sell alcohol at your event, the proper insurance and license information is required and must be provided to the Junior League.  If you are paying a person or business to serve alcohol to your guests, your event insurance (please see Why is event insurance required? above) must include host liquor liability and the servers must be licensed and insured like other vendors. WHAT HAPPENS IF I CANCEL MY EVENT?
You forfeit the non-refundable deposit if your event is canceled. Cancellations must be made in writing and can be emailed to rentals@jlgl.org

CAN I CHANGE THE DATE OF MY EVENT? 
If there is a change in the date of your event and the building is available, you may (depending on how close to the original rental date) move your event without losing your deposit. However, date availability and rate changes may apply. Additionally, a new contract would be required.
